ROLE OVERVIEW The Document Controller is responsible for implementing, maintaining, and overseeing document control procedures across CTS Group's electrical engineering projects. The role ensures all project documentation is accurate, traceable, and compliant with company and client standards, while remaining readily accessible to authorised personnel. Working closely with engineering, design, and project teams, the Document Controller plays a central role in establishing the documentation framework at project initiation and maintaining its integrity throughout the project lifecycle.

KEY RESPONSIBILITIES

Document Management & Control

  • Implement and maintain document control procedures and policies specific to electrical engineering projects.
  • Ensure all documents comply with company standards, regulatory requirements, and industry best practices.
  • Understand client documentation system requirements and support design teams in establishing the project documentation framework during project initiation.
  • Facilitate the efficient running and day-to-day administration of the document management system.

Document Accuracy & Compliance

  • Coordinate with electrical design engineers, other departments, and external parties to ensure documentation is accurate, complete, and compliant with the document management system.
  • Conduct regular audits of documents and drawings to verify accuracy, completeness, and adherence to procedures.
  • Maintain standard documents and templates for consistent use across projects.

Accessibility, Security & Reporting

  • Update, archive, and ensure the accessibility of all project documents in accordance with company policies.
  • Generate and present reports on document status, revisions, and compliance to project management and relevant stakeholders.

Training & Support

  • Train staff on the document management system and related procedures.
  • Assist project teams in organizing and developing databases of project documentation templates and reference examples.

REQUIRED SKILLS AND EXPERIENCE

  • Bachelor's degree in Management, Construction, Administration, or a related field.
  • 5 - 15 years of experience in a document control role, preferably within electrical engineering, construction, or infrastructure projects.
  • Solid understanding of engineering deliverables and document lifecycle management in a project environment.
  • Proficiency in SharePoint, Microsoft Word, and Excel; prior experience with document management software is required.
  • Knowledge of Autodesk Construction Cloud (ACC) is a strong advantage.
  • Experience establishing and administering document management systems from project initiation.
  • Familiarity with document numbering conventions, revision control, and transmittal processes.
  • Strong attention to detail and a methodical approach to managing large volumes of documentation across concurrent projects.
  • Good written and spoken English; proficiency in Portuguese is an advantage given the Lisbon base.
  • Ability to work effectively across multidisciplinary teams and manage competing priorities in a fast-paced delivery environment.
