Privacy Policy

This Policy explains what personal data we collect from you as a candidate, why we collect it, how we use and protect it, and what rights you have. It applies to all candidates using the DC Forté recruitment platform, including the web portal and WhatsApp service.

01. Introduction
  • DC Forté is committed to handling your personal data with transparency and care. We operate as a specialist recruitment business and process candidate data to connect people with career opportunities in the global data centre industry.
  • This Policy is written to be clear and direct. If anything is unclear, contact us at support@dc-forte.com and we will explain.
02. Who Controls Your Data
  • DC Forté Holding Pte Ltd, registered in Singapore, is the data controller for personal data collected through the Platform. We determine the purposes and means by which your data is processed.
  • When you apply for a role and your Candidate Profile is shared with a hiring organisation, that organisation becomes an independent data controller of what it receives. Their use of your data is governed by their own privacy policy.

Your Data, Your Control

We never share your Candidate Profile with a hiring organisation without your knowledge. It is shared only when you apply to or express interest in a specific role.

03. What We Collect
  • We collect the following categories of personal data.
Identity and contact
  • Name, email address, and phone number, including WhatsApp number;
  • Country and city of residence or preferred work location;
  • Profile photograph, if you choose to add one.
Professional information
  • CV and work history — employers, job titles, dates, responsibilities;
  • Education, qualifications, and professional certifications;
  • Skills and technical competencies;
  • Career preferences, availability, notice period, and salary expectations.
Assessment information
  • Video and audio recordings of AI interviews;
  • Transcripts of your spoken responses;
  • Written evaluations and scores generated from your responses;
  • Session integrity data collected during supervised assessments, which may include periodic screen captures, whether the assessment window remained active, and audio or video irregularities. This is used solely to confirm assessment integrity;
  • Results from any additional screening carried out by our assessment partners.
Application and evaluation records
  • Roles you have been matched to or applied for;
  • Application status, progress, and outcome;
  • The AI-generated evaluation comparing your CV to a role, including its score and written analysis;
  • Recruiter notes, feedback, and the reason recorded for any decision;
  • Observations recorded by recruiters about your engagement with the recruitment process — for example attendance at scheduled interviews, or how an application concluded.
Communication records
  • Messages exchanged with DC Forté via WhatsApp, the Portal, or email;
  • Your communication and marketing preferences, and the record of when you set them.
Technical data
  • IP address, browser type, and device information;
  • Session activity collected automatically when you use the web Portal.

Information We Do Not Ask For

We do not ask about your health, disability, religion, ethnicity, political views, or trade union membership, and we do not use such information to assess you. CVs sometimes contain this information incidentally. Where it appears, it is not used as a factor in matching or evaluation.

04. How We Collect Your Data
  • We collect your data in the following ways:
    • Directly from you — when you register, complete your profile, submit a CV, or use the Platform;
    • Through WhatsApp — from your interactions with our WhatsApp assistant;
    • From a previous application — if you applied for a role through DC Forté before this Platform existed, we may hold that application record and your CV;
    • From a CV you previously shared with us — through a job board, email, or direct contact with a recruiter;
    • From a third party — a job board, recruitment partner, or referral;
    • During an assessment — recordings, transcripts, evaluations, and session integrity data;
    • Automatically through the Portal — technical data collected via cookies and server logs.
  • Where we hold data that did not come directly from you, or where we begin using data you gave us previously for a new purpose — such as matching you to roles beyond the one you originally applied for — we will tell you. That notification explains what we hold, where it came from, what we use it for, and how to object or ask us to delete it.
05. How We Use Your Data
  • We use your personal data to:
    • Create and manage your Candidate Profile;
    • Match you to job opportunities based on your skills, experience, and preferences;
    • Produce evaluations comparing your profile to specific roles, for review by our recruiters;
    • Communicate application status, updates, and scheduling information;
    • Conduct or facilitate assessments where a role requires one;
    • Share your profile with hiring organisations for roles you have applied to or expressed interest in;
    • Support your onboarding and post-placement integration at your request;
    • Send you information about new opportunities, where you have opted in;
    • Comply with our legal and regulatory obligations;
    • Maintain the security, integrity, and reliability of the Platform;
    • Improve our matching quality and service over time.
06. Legal Bases for Processing
  • We process your personal data on the following grounds:
    • Contract performance — to deliver the recruitment service you have asked for. This covers managing your profile, matching you to roles, submitting your applications, and keeping you updated on their progress.
    • Consent — for two things specifically: marketing messages about roles you have not engaged with, and recording during an AI interview. Each is asked for separately, defaults to off, and can be withdrawn at any time without affecting processing already carried out.
    • Legitimate interests — for candidate-role matching, improving the Platform, preventing fraud, maintaining security, and maintaining the integrity of our recruitment process, where those interests are not overridden by your rights.
    • Legal obligation — where law or a regulatory authority requires us to retain or disclose personal data.

How Consent Works on Our Platform

When you create an account, you accept these Terms and this Privacy Policy, and you agree to receive messages about applications you make. That is how the service works.

Marketing is separate. You are asked once, at sign-up, whether you want to hear about new roles — and the answer is no unless you actively say yes. Recording during an AI interview is asked for separately again, immediately before the session.

You can change any of these choices at any time in the Portal.

07. Automated Processing and AI
  • DC Forté uses artificial intelligence to support candidate matching, CV analysis, assessment, and communication.
What our AI tools do
  • Matching — comparing your profile to open roles and surfacing those that may suit you;
  • CV evaluation — comparing your CV against a role's requirements, producing a score and a detailed written analysis of your fit;
  • Interview evaluation — analysing your responses in an AI interview and producing a written report for the recruiter;
  • Communication — drafting messages and generating feedback based on recruiter input.
How decisions are actually made
  • Our AI tools produce analysis and recommendations. They do not decide the outcome of your application.
    • Every applicant is reviewed by a DC Forté recruiter. We do not use automated filtering to remove applicants from consideration before a person has seen them.
    • Recruiters review the full written evaluation, not just a score, and can reach a different conclusion from the one recommended.
    • Decisions carrying material consequences for you — whether your application progresses, and any concern recorded on your profile — are made by a person.
    • Final hiring decisions are made by the hiring organisation, not by DC Forté.

Your Right to Human Review

You can ask for any significant decision affecting you to be reviewed by a person at DC Forté. Contact support@dc-forte.com with the subject line Human Review Request. The review is carried out by someone who was not involved in the original decision, and we will respond within the timeframe required by the law that applies to you.

You can also ask us to explain how an evaluation about you was reached.

Knowing when you are talking to AI
  • When you interact with our WhatsApp assistant or take an AI interview, you are told clearly that the system is automated rather than a person.
08. Assessment Recording and Monitoring
  • Where a role includes an AI interview, that session is recorded and supervised. Because this is more intrusive than the rest of our processing, it is set out separately here.
What is captured
  • Video and audio of the session;
  • A written transcript of your spoken responses;
  • An evaluation and score generated from your responses;
  • Session integrity data collected by our proctoring provider — periodic screen captures, whether the assessment window remained active, and audio or video irregularities.
What is not captured
  • We do not analyse your emotional state, mood, confidence, stress level, or engagement, and we do not use any such inference as part of your evaluation. Assessment is based on the content of your answers against the technical requirements of the role.
Your consent
  • Consent to recording is asked for immediately before the session begins — not at sign-up — and you are shown what is captured and how long it is kept before you agree.
  • If you are unable to take the assessment in its standard form — for accessibility reasons, technical constraints, or because you would prefer not to be recorded — contact us at support@dc-forte.com before your scheduled session and we will discuss alternative arrangements with you. Raising this will not, in itself, affect the outcome of your application.
How long it is kept
  • Video and audio recordings — automatically deleted 90 days after the session;
  • Session integrity data[PERIOD TO BE CONFIRMED]
  • Transcript and evaluation — retained with your application record, subject to Section 11;
  • You can ask us to delete a recording sooner by contacting support@dc-forte.com. We will do so within 30 days of your request.
Who sees it
  • Recordings, transcripts, and evaluations are available to DC Forté recruiters working on your application.
  • Your evaluation and your answers may be shared with the hiring organisation for the role you have applied to, as part of putting your application forward. This can include the written evaluation of your responses and the transcript of what you said. The hiring organisation receives this as an independent data controller and handles it under its own privacy policy.
  • Video and audio recordings are not shared with hiring organisations unless you are told and agree.
09. Who We Share Your Data With
  • We share your personal data only in the following circumstances.
Hiring organisations
  • When you apply for a role or express interest in a specific opportunity, we share your Candidate Profile with that hiring organisation. Where you have completed an assessment for that role, we may also share your written evaluation and the transcript of your responses. Video and audio recordings are not shared unless you are told and agree.
  • Hiring organisations act as independent data controllers of what they receive and are responsible for their own handling of it.
Assessment partners
  • Where additional screening is required, we share relevant profile data with our assessment partners under binding data processing agreements. They process your data only to conduct the assessment, act solely on our documented instructions, and do not retain it beyond the period necessary for that purpose.
  • Where an assessment is supervised, that supervision is carried out by IncProctor, a third-party proctoring service operated by InCruiter, engaged by us under the same safeguards. Our assessment and supervision providers are contractually required to maintain compliance with the data protection framework applicable to you. You are always told in advance when an assessment involves recording or supervision.
Technology providers
  • We use third-party providers to operate the Platform, acting as data processors under contract and processing data only on our instructions. These include:
    • Cloud hosting and data storage;
    • Messaging infrastructure for WhatsApp delivery;
    • Live audio and video streaming for interviews;
    • Speech-to-text transcription;
    • AI language model providers, which process CV content, role descriptions, and interview transcripts to generate evaluations and communications;
    • Recording storage.
  • Where these providers process data outside your country, the safeguards in Section 10 apply.
Legal and regulatory authorities
  • We may disclose data where required by law or court order, or where necessary to protect DC Forté's legal rights, prevent fraud, or respond to a lawful regulatory request.

We Do Not Sell Your Data

DC Forté does not sell, rent, or trade candidate personal data to any third party for commercial, advertising, or marketing purposes.

10. International Data Transfers
  • DC Forté operates globally, serving candidates and hiring organisations across Europe, the Middle East, South Asia, Southeast Asia, East Asia, the Americas, Oceania, and Africa. Your data may be processed or stored outside your home country, including in Singapore, India, the United Kingdom, the European Economic Area, the Gulf states, the United States, Brazil, Japan, Australia, and South Africa.
  • Where data is transferred internationally, we put appropriate safeguards in place, including:
    • Standard Contractual Clauses approved by the European Commission, where applicable;
    • Adequacy decisions issued by relevant data protection authorities;
    • Binding contractual data protection obligations with all processors;
    • Jurisdiction-specific localisation or transfer mechanisms where required by law.
  • We apply the transfer requirements of your home jurisdiction where they apply to us. For questions about a specific country, contact support@dc-forte.com.
11. Data Retention
  • We keep your personal data only as long as necessary for the purposes described in this Policy, or as required by law.

12. Deletion and What We Keep
  • You can ask us to delete your data at any time, through the Portal or by emailing support@dc-forte.com. We complete deletion within 30 days of confirming your request, and we will tell you when it is done.
What we delete
  • Your Candidate Profile, CV, application history, assessment recordings and transcripts, message history, and the evaluations generated about you — removed from our databases, search systems, and file storage.
What may remain, and why
  • Deletion is not always total. We will tell you specifically which of the following applies to you.
    • A suppression record. We keep your email address and phone number, and nothing else, so your CV is not added to our database again if we later receive it from a job board, referral, or recruitment partner. We cannot honour your request going forward without knowing whom to exclude. This is held on the basis of our legitimate interest in giving effect to your deletion request. You can ask us to remove these details too — we will do so, but we will then be unable to prevent your data re-entering our database.
    • Records we are legally required to keep. Where a legal or regulatory obligation applies, we will tell you which records are affected and how long they are held.
    • Data already shared with a hiring organisation. Where your profile was sent to an employer as part of an application, we cannot delete it from their systems. You would need to contact them directly. We can tell you which organisations received your details.
13. Your Rights
  • Subject to applicable law, you have the following rights over your personal data:
Access Ask for a copy of the personal data we hold about you, including evaluations and recruiter notes.
Rectification Ask us to correct inaccurate or incomplete information, including data we generated.
Erasure Ask us to delete your data, subject to Section 12.
Restriction Ask us to limit how we use your data in defined circumstances.
Portability Receive your data in a structured, machine-readable format where technically feasible.
Objection Object to processing based on legitimate interests, including matching. You can pause matching without deleting your account.
Withdraw consent Turn off marketing at any time, and decline or withdraw consent to assessment recording.
Human review Ask for any significant decision affecting you to be reviewed by a person who was not involved in it.
  • To exercise any of these, contact support@dc-forte.com. We respond within the timeframe required by the law that applies to you — typically 30 days, extendable in complex cases. Marketing and channel preferences can be changed immediately in the Portal without contacting us.
14. Rights by Jurisdiction
  • Data protection law differs by country, and the rights described in Section 13 apply to you as your local framework provides. Where your country gives you rights beyond those set out above, those rights apply.
  • For most of our candidates, the applicable framework is one of the following:
    • European Union — General Data Protection Regulation (GDPR)
    • United Kingdom — UK GDPR and the Data Protection Act 2018
    • India — Digital Personal Data Protection Act 2023
    • Singapore — Personal Data Protection Act
    • Gulf states — including Saudi Arabia's Personal Data Protection Law and the United Arab Emirates' federal data protection law
  • If you are based elsewhere, contact us at support@dc-forte.com and we will confirm which framework applies to you and what rights it gives you.
  • Wherever you are, you can raise a concern with the data protection authority in your country. Section 15 explains how, and we would always appreciate the chance to resolve the matter with you first.
15. Cookies and Tracking
  • The DC Forté web portal uses cookies and similar technologies. We use:
    • Essential cookies — required for authentication, session management, and security. These cannot be disabled without affecting core functionality;
    • Analytics cookies — used with your consent to understand how the Portal is used so we can improve it. No individual profile is built from analytics data alone.
  • We do not use advertising cookies or share tracking data with advertising networks.
  • You can manage cookie preferences in your browser at any time. Disabling essential cookies may affect your ability to log in.
16. Changes to This Policy
  • We may update this Policy to reflect changes in our services, applicable law, or the technology we use. Where changes are material, we will notify you in advance via WhatsApp or email.
  • The version number and date at the top of this page always reflect the current version, and we keep a record of which version applied when you gave any consent.
